The 2010 Annual Budget Meeting for Islandia I has been scheduled for Tuesday, December 8, 2009 and will be held in the Social Room at 7:30 PM.

The 2010 Annual Meeting for Islandia I has been scheduled for Wednesday, January 13, 2010 and will be held in the Social Room starting at 7:30 PM.

Full details and the adjenda for both meetings will be posted on the web site prior to the meetings. The Florida Condominium Act has added some additional prerequisites for candidates to meet who wish to run for the board of directors.

Subject: Mold in units

We have encountered some important issues in units that are unoccupied and wanted to bring this to your attention and ask for your help.

An owner recently arrived to prepare their unit for rental to find that his air-conditioner had been turned off and the unit was invaded by mold. Mold can totally ruin a unit. Realtors recently walked though the unit, however, failed to mention the mold to the office staff or the owner.  This unit owner does not have a ‘condo care-taker’ who would look in on the unit during the times it is unoccupied. This is just one of several similar cases. We have also found clogged air-conditioner drains that have caused the water to over-flow the pans causing leaks below the units.

This year we have experienced record breaking heat and it is important that the air-conditioner and/or humidistat remain turned on and are operating correctly. If your unit remains unoccupied for extended periods of time, if you have not done so already, we encourage you to consider arranging for a “condo-caretaker” to regularly inspect your unit.

If you have a condo-caretaker, please contact the Association Office, (email:islandia9550@comcast.net), fax (772-229-3592), or
telephone (772-229-3591) to leave your caretaker’s contact information. This is to enable us to contact them directly in the event you are unavailable. If you would like to know when your caretaker comes through the security gate, we have those records as well.

Just in case you wanted to know,...

From the BOD regarding your Manager’s duties

Perhaps you’ve never given much thought to the scope of the Association’s manager’s duties; we thought we would clarify from the Board’s prospective what her duties are.

Some residents expect the manager to perform certain tasks that just aren’t part of the job. When the manager doesn’t meet those expectations, residents naturally are unhappy. Since we want you to be happy, we’re offering a few clarifications to help you understand what the manager does.

  • The manager is trained to deal with conflict, but she will not get involved in quarrels you might be having with your neighbor. However, if association rules are being violated, the manager is the right person to call.
  • While the manager works closely with the board, she is an advisor – not a member of the board. Also, the manager is not your advocate with or a conduit to the board. If you have a concern, send a letter or e-mail directly to the board.
  • Although the manager is a great resource to the association, she is not available 24 hours a day – except for emergencies. Getting locked out of your home, guests needing keys, etc., these may be emergencies to you but they are not association emergencies. An association emergency is defined as a threat to life or property.
  • The manager is always happy to answer questions, but she is not the information officer. For routine inquiries, like the date of the next meeting, please read the newsletter or check the association website.
  • The manager is responsible for monitoring contractors’ performance, but not supervising them. Contractors are responsible for supervising their own personnel. If you have a problem with a contractor, notify the manager, who will forward your concerns to the board. The board will decide how to proceed under the terms of the contract.
  • The manager inspects the community regularly, but even an experienced manger won’t catch everything. Your help is essential. If you know about a potential maintenance issue, report it to the manager, complete a work request form if applicable, but please refrain from giving direction to the maintenance staff, that is the manager’s job.
  • The manager has a broad range of expertise but she is not a consultant to the residents. Neither is she an engineer, architect, attorney or accountant. The manager may offer opinions but don’t expect technical advice in areas that she is not qualified.
  • Although the manager works for the board, she is available to residents. That doesn’t mean the manager will drop everything to take your call. If you need to see the manager, call and arrange a meeting. If a matter is so urgent that you need an immediate response, call 911.

Islandia East, A.K.A., the East Board serves all residents in our complex. East is responsible for the security and maintenance of most of the outside property and facilities. These include the dunes, swimming complex, main entrance, guard station, tennis courts, overflow parking lot and most importantly the power plant across the road.

A staff of three maintains our property. Manager, Bob Wyrobek, Randy Montroy and Robert Irons take great pride in their work to keep Islandia beautiful and safe. The safety element includes twenty-four hour security service. This service is contracted but manager, Bob Wyrobek supervises the guards. We also have camera surveillance for the buildings and grounds.

We are a large, private complex of condominium homes with a thousand feet of oceanfront and over eight acres of land. Imagine a small village or town…this is a big responsibility and requires the cooperation of all our residents.

Condominium living has rules and regulations to operate successfully. Many of the rules and regulations are required by law. The swimming pool rules are suggested by the government of St. Lucie County. Since there are no lifeguards these rules are posted for all residents and guests. They are designed for the health and safety of everyone. Security guards use cameras to monitor the pool and other areas of the complex. They are instructed to enforce all the rules and regulations and to err on the side of safety.
Islandia is not a resort hotel; it is a residence!

Keep this in mind when you entertain family and guests. Know the rules and cooperate with our staff. If we all do this, Islandia will continue to be a safe and beautiful place to live.

Islandia I Manager Announcement

As most of you know, Mick Mullen will be leaving the position of Islandia I Association manager on June 1, 2009.  Over the past few months, the board has conducted an extensive search for his replacement, reviewing and evaluating resumes from 17 people who applied for this position. 

During February, this list was narrowed down to four candidates the Board considered to be best qualified.  Lengthy telephone interviews were conducted with two of the candidates who were remote from the area.  Onsite interviews were conducted with the top three candidates.
When the board set out to find a new association manager, it established a set of criteria for evaluating candidates which included:

  • Supervisory experience
  • Personal knowledge of financial and budgetary system
  • Experience maintaining the infrastructure of a condominium complex
  • Experience negotiating with vendors and contractors
  • Ability to plan and project- manage complex tasks
  • A demonstrated focus on customer service and problem solving
  • Competency in computer skills

All of the top three candidates demonstrated strength in many of the above areas, but one stood out above the rest.  The person selected to be the Islandia I Association Manager starting May 1, 2009 will be Jennifer Eckenroad.

Jennifer is a native Floridian and a graduate of the University of Florida with a Bachelor of Arts with a major in Interior Design.   She has spent the past five years managing two large condominium complexes, one in Islamorada, Florida, and the other in Fort Myers Beach, Florida.  She has had experience managing large restoration projects, has demonstrated skills managing the financial affairs of the organizations, and has an excellent reputation with both the staff she managed and the owners and boards she supported.  She has a focus on quality and process in managing a condominium as a business. We believe you will find her to be a hands-on manager who will demand the best from herself and her staff in everything they do.

Jennifer has also reached out beyond her stated job position and been active in the Fort Meyers Beach area in developing a hurricane preparation guide which is being implemented across that community. She has already expressed an interest in participating in the activities of the Presidents Council on Hutchinson Island.  Jennifer has strong entrepreneurial skills.  Her background includes founding and operating  an executive travel/marketing service company specializing in the medical device and pharmaceutical industries.

Jennifer has demonstrated a commitment to communications with the owners and the board of directors, as a cornerstone to the way she works. She recently implemented a web site for her association and prepares brief monthly newsletters to the owners to keep them informed of current activities.   Beyond all the above and the many more skills she brings to the job, Jennifer brings enthusiasm and a genuine interest in making sure Islandia I will continue to be one of the premier condominiums on Hutchinson Island.

Jennifer plans to move to Hutchinson Island so she can be close to the site, realizing the 24/7 nature of the job. We will arrange for a time to meet Jennifer either before or shortly after May 1st, so you can personally welcome her to Islandia I.
